The legal position, in plain English

If you let a property with gas appliances, the Gas Safety (Installation and Use) Regulations 1998 place three duties on you: have every gas appliance and flue checked for safety at intervals of no more than 12 months, keep a record of each check for two years, and give a copy to your tenant — within 28 days of the check, or before a new tenant moves in.

The check must be carried out by a Gas Safe registered engineer. You are also responsible for maintaining the appliances and pipework you provide in a safe condition, which is a broader duty than the annual check alone.

The duty sits with the landlord. Where a letting or managing agent handles the property, responsibility can be passed to them in writing under the management contract — but it does not disappear, and if it has not been passed on clearly it remains yours.

Renew in the last two months and keep your date

This is the part that saves landlords money and almost nobody is told about it.

If you have the check done within the final two months of your current record, the new certificate runs from the old expiry date — not from the date of the visit. Your renewal month stays put year after year, and you lose none of the cover you have paid for.

Renew earlier than that two-month window and the twelve months restart from the visit, so you quietly give away the difference. If you tell us your current expiry date when you book, we will aim for the right window.

What we check

Each appliance is tested against the manufacturer's specification and the current standards, and the results are recorded on the certificate — including anything that is borderline, so you have a record of it before it becomes a failure next year.

If something fails

We tell you the same day, in plain terms, with a photograph where it helps. An appliance found Immediately Dangerous or At Risk has to be made safe — with your permission we disconnect or cap it off, and where you refuse permission we are legally required to report it.

You will get an honest quote for the repair and no pressure to use us for it. We would rather tell you an appliance is finished than sell you a repair that will not last, and we will say so if replacement is the better call.

Common questions

What is a CP12?

CP12 is the everyday name for a Landlord Gas Safety Record. "CP12" was originally a CORGI form number, and the name stuck after Gas Safe replaced CORGI in 2009. Legally it is a gas safety record, and it is the document proving every gas appliance in a let property was checked by a Gas Safe registered engineer.

How often do I need one?

Every 12 months. A check must be carried out on each gas appliance and flue at intervals of no more than 12 months, and you must hold a record of it. Missing the date means the property is let without a valid record.

Can I renew early without losing time?

Yes. If you have the check done in the last two months of the current certificate, the new one runs from the old expiry date rather than the date of the visit — so you keep the same renewal month year after year and lose nothing. Renew earlier than that and the clock restarts from the visit.

When do I have to give the record to my tenant?

Within 28 days of the check for existing tenants, and before they move in for new ones. For tenancies of under 28 days, you can display it prominently in the property instead.

How long do I keep the records?

At least two years.

What if an appliance fails?

It depends what we find. An appliance classified At Risk or Immediately Dangerous must be made safe — with your permission we disconnect or cap it, and you are told straight away what is wrong and what it will take to put right. We will quote for the repair; there is never an obligation to use us for it. What we cannot do is issue a record saying an unsafe appliance is safe.

What if my tenant will not let us in?

It is a common problem and the law expects you to take reasonable steps rather than achieve the impossible. Keep a written record of every attempt — letters, texts, calls, appointments offered. Most tenancy agreements include a right of access for safety checks. We will happily attend more than once and arrange directly with the tenant, and every visit we make is logged so you have evidence of the effort.

Does a gas safety check include a boiler service?

No — they are different jobs and it is worth being clear about it. A gas safety check confirms the appliance is safe to use. A service cleans and inspects components so the boiler keeps working reliably. Plenty of landlords have both done in the same visit, which is cheaper than two separate call-outs.

Which appliances need checking?

Every gas appliance you own and provide for the tenant's use, plus the flues serving them. That includes the boiler, gas fires, gas hobs and ovens, and any gas water heater. Appliances the tenant owns are not your responsibility, though the connecting pipework and flue still are.

Do I need one for a holiday let or a room in my own home?

Holiday lets and short-term lets are covered by the same duty. If you take a lodger in your own home the position depends on the arrangement — ring us and we will tell you honestly whether you need one rather than sell you a certificate you do not.
